These Terms and Conditions (“Terms”) govern your access to and use of Ref-n-Write, including our website, desktop software, web applications, Microsoft Word plugin, Google Docs plugin, Plagiarism & AI reports and related services (collectively, the “Services”).

By accessing, purchasing, or using Ref-n-Write, you agree to be bound by these Terms. If you do not agree, you must not use the Services.

2. Eligibility and Acceptance

By using Ref-n-Write, you confirm that:

  • You are at least 18 years old or have legal capacity to enter into a binding agreement;
  • You have read and understood these Terms and our Privacy Policy;
  • You will use the Services in compliance with applicable laws and academic or institutional rules.

3. Description of Services

Ref-n-Write provides:

  • Academic writing assistance and phrase suggestions
  • Language improvement and rewriting tools
  • Software delivered via desktop applications, web apps, Microsoft Word add-ins, and Google Docs add-ons
  • Plagiarism and AI detection services, including analytical reports and revision suggestions
  • All Services are provided electronically.

4. One-Off Purchase – No Subscription

Ref-n-Write is offered as a one-time purchase.

  • Ref-n-Write is not a subscription service.
  • There is no automatic renewal and no recurring billing.
  • You pay once for the license you purchase (for example, one-year or lifetime license).
  • Your license will expire only if it is a time-limited license (such as a one-year license). Lifetime licenses do not expire.

5. User Accounts, Licensing, and Device Changes

  • All Ref-n-Write licenses and accounts are personal, non-transferable, and intended for single-user use only.
  • Account sharing is strictly prohibited, including sharing credentials with colleagues, classmates, or third parties.
  • If you change devices or need to activate Ref-n-Write on a new device, you must notify us in advance by emailing contact@ref-n-write.com.
  • We reserve the right to monitor usage patterns to detect unauthorised sharing, in compliance with data protection laws.

Violation of this section may result in suspension or termination of access without refund.

6. License Information and Service Emails

Upon signing up or purchasing a license, we will send you essential service emails, including:

  • License and activation details
  • Purchase confirmations and invoices
  • Important service or security notifications

These emails are necessary to deliver the Services and cannot be opted out of while you hold an active license.
Marketing emails, where applicable, are governed by our Privacy Policy and may be unsubscribed from at any time.

7. Plagiarism and AI Detection Usage Limits

Plagiarism and AI detection services are not unlimited and are subject to defined usage limits.

  • Internal Checks:
    Ref-n-Write allows free plagiarism checks against documents you have imported into your dashboard. These checks are limited to internal comparisons only and do not constitute a full external plagiarism report.
  • Full Plagiarism and AI Reports:
    Full reports that include checks against external sources are limited as follows:
    • One-Year License: Includes up to 15 pages
    • Lifetime License: Includes up to 30 pages
  • Additional Reports:
    Once the included page limit is reached, additional reports may be purchased for a small fee. These charges reflect the cost incurred through Copyleaks, an independent third-party provider. Ref-n-Write has negotiated reduced pricing where possible, including student rates.

8. Plagiarism and AI Detection Disclaimer

  • Plagiarism and AI detection results are analytical tools only and do not guarantee acceptance by institutions, publishers, or third-party platforms.
  • Revision or rewriting suggestions are not guaranteed to remove plagiarism or AI detection flags.
  • Users must independently review and verify all content before submission.
  • We are not responsible for academic, professional, or reputational outcomes.

9. Data Retention and Third-Party Services

  • Documents uploaded for plagiarism or AI detection are automatically deleted within 24 hours.
  • Generated reports may be retained for up to one (1) year.
  • Plagiarism and AI detection services are provided in part through Copyleaks, which may also retain reports for up to one (1) year under its own policies.

10. Free Upgrades Policy

  • Free upgrades are guaranteed only within the same major version number.
  • Example:
    • Version 6 includes free upgrades to 6.1, 6.2, 6.x
    • Version 7 is considered a new major release and is not included

Major version upgrades may require a new purchase.

11. Refund Policy

Due to the digital and instant nature of the Services:

Trial to Full Version

  • If you use a trial and then purchase the full version, no refunds will be provided.

Plagiarism and AI Reports

  • If license credentials are used to generate a plagiarism or AI report, no refunds will be provided.
  • This is because we incur an immediate, non-recoverable cost to Copyleaks.

Exceptions

Refunds may be considered only for:

  • Duplicate or erroneous charges
  • Proven technical failures preventing access
  • Non-excludable statutory consumer rights

12. Intellectual Property

All software, algorithms, designs, and content are owned by Astute Digital Solutions Ltd or its licensors.
You retain ownership of your uploaded content but grant us a limited license to process it solely to provide the Services.

13. Web Applications and Local Storage

Web applications may store limited activation or authentication information locally in the user’s browser.
We are not responsible for loss of access due to cleared browser data or device changes.

14. Service Availability

We do not guarantee uninterrupted or error-free operation. Maintenance or technical issues may occur.

15. Limitation of Liability

To the maximum extent permitted by law:

  • We are not liable for academic penalties, rejected submissions, loss of data, or reputational harm
  • We are not liable for inaccuracies in plagiarism or AI detection results
  • Our total liability is limited to the amount paid for the relevant license

Nothing excludes liability for death, personal injury, fraud, or non-excludable statutory rights.

16. Termination

We may suspend or terminate access if these Terms are breached. No refunds will be issued in such cases.

17. Governing Law

These Terms are governed by the laws of England and Wales, and disputes are subject to the exclusive jurisdiction of its courts.

18. Changes to These Terms

We may update these Terms from time to time. Continued use constitutes acceptance of the updated Terms.
